Summary:

We are seeking a highly organized and proactive Virtual Assistant to provide comprehensive administrative support to our remote team. This role is essential in ensuring seamless day-to-day operations, enabling leadership and departmental teams to focus on strategic priorities. As a Virtual Assistant, you will manage a wide range of tasks including scheduling, correspondence, document preparation, data entry, and project coordination—all delivered with precision, discretion, and efficiency. This position requires strong time management, attention to detail, and the ability to work independently in a fast-paced, remote environment. The ideal candidate is tech-savvy, reliable, and committed to maintaining high standards of professionalism and confidentiality. Your contributions will directly impact team productivity, operational efficiency, and overall organizational success.

Responsibilities:

  • Manage calendars, schedule meetings, and coordinate appointments across multiple time zones
  • Draft, edit, and format professional emails, reports, presentations, and other business documents
  • Maintain and update digital filing systems, databases, and CRM platforms
  • Handle incoming correspondence, including email triage, response drafting, and follow-ups
  • Prepare travel itineraries, expense reports, and related documentation
  • Support project management by tracking deadlines, compiling status reports, and coordinating deliverables
  • Conduct research, compile data, and generate summaries for executive or team use
  • Assist with social media content scheduling and basic graphic coordination as needed
  • Ensure compliance with data privacy and security protocols in all administrative tasks
  • Act as a point of contact for internal and external stakeholders, providing timely and accurate information

Requirements

Requirements:

  • High school diploma or equivalent; associate’s or bachelor’s degree preferred
  • Minimum of 2 years of experience in administrative support, virtual assistance, or office coordination
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
  • Experience with project management tools such as Asana, Trello, or Notion
  • Strong written and verbal communication skills with impeccable grammar and attention to detail
  • Ability to multitask, prioritize, and meet deadlines in a remote work environment
  • Reliable internet connection and a dedicated, distraction-free workspace
  • Familiarity with CRM systems (e.g., HubSpot, Salesforce) and virtual meeting platforms (e.g., Zoom, Teams)
  • Self-motivated, proactive, and capable of working with minimal supervision
  • Experience with remote collaboration tools and digital document management
