About the role

Modern Therapy Group is hiring a Client Conversion Specialist (Intake) to manage inbound client calls and convert warm leads into booked services.

All clients have already inquired and been clinically matched.
Your role is to handle incoming calls, guide clients to the right level of care, and get them scheduled — whether that’s individual therapy or a higher level program like IOP (Intensive Outpatient Program).

This is not an administrative intake role.
This is a high-volume, phone-based, consultative conversion role with direct impact on revenue and client outcomes.

What you’ll do

• Answer and manage all inbound client calls (primary point of contact)
• Call newly matched clients quickly (same day — speed matters)
• Guide clients to a clear recommendation:
• Individual therapy
• IOP or higher level of care when appropriate
• Educate clients on program options and value (including IOP)
• Book services live on the phone whenever possible
• Handle objections (cost, insurance, hesitation, readiness)
• Follow up persistently via phone, SMS, and email
• Manage and move leads through the pipeline in HubSpot (required)
• Maintain clean, accurate CRM data and activity tracking
• Own the outcome: inquiry → matched → booked

What success looks like

• You answer calls quickly and convert conversations into bookings
• You confidently guide clients to the right level of care
• Your HubSpot pipeline is clean, organized, and up to date
• No qualified lead sits without follow-up
• You take ownership of results, not just tasks

Requirements (non-negotiable)

• Hands-on HubSpot CRM experience (daily use, not basic familiarity)
• Strong phone presence — confident, clear, and able to lead conversations
• Experience handling high call volume and converting inbound leads
• Ability to guide clients through decisions and close
• Comfortable discussing and recommending higher-level care (e.g., IOP)
• High urgency, responsiveness, and follow-through

Preferred

• Behavioral health or healthcare admissions experience
• Experience enrolling clients into programs (IOP, PHP, etc.)
• Experience working with insurance-based services

Pay: $50,613.21 - $60,953.55 per year
